Account creation
- New clients – non-Umbrella users
Atriis will introduce you to Umbrella. Provide us your contact details and an Umbrella representative will get in touch with you and provide demos, kick-off calls, and setups.
- Existing clients
Clients have to request the Atriis interfaces to Umbrella Support faces-support@umbrella.ch.
Umbrella will then advise Atriis of your endpoint communication URL and the Agency attribute.
Please note that the connection with Atriis might affect your existing commercials with Umbrella. Please inquire with Umbrella regarding the additional costs.
Administration
The initial setup is handled by Atriis. Please contact support and your Account Manager with the credentials
-
In Umbrella Faces, you need to activate the Target-GDS “Atriis” to activate the synchronization for travelers for a specific company.
The option is under “Companies”. Navigate to the Interface Setup section. If Atriis is not in the options, you should request Umbrella to add it
Example screenshot of an Umbrella Faces Company:
The Override Company ID must always be left empty
- Atriis will add Umbrella to your distributor’s list and select it as the “Corporate profile change handling” in the TMC settings.
- Select the fallback method and an email to receive the notifications in case of sync failure:
- Corporate administration
- The company has to be created in Umbrella. It will be assigned a unique value. Navigate to “Companies”, and once it is created, open the company and get the ID from the below location:
- Corporate Settings> “External Company Id”: add the Umbrella reference (as shown above)
In case there’s more than one BAR related to the corp. account, we can manage the different BARs at the User Group level.
4. Activate Umbrella
To finalize the activation, you must activate the supplier Umbrella under the relevant corporate account:
5. Field mapping
Synchronize the field with the Umbrella Internal Code
To get the Internal Code: in Umbrella, under “Agencies”, and “Setup”
Go to the relevant field in Umbrella. You will need to map our field with the Name:
Pushing profiles from Umbrella to Atriis
We recommend testing the sync first by using a test company with a small number of travelers’ profiles. If you don’t have an existing one, please create one in Umbrella and Atriis. Once created and all the above settings are configured in Atriis in Umbrella, follow the steps below to push the profiles from Umbrella to Atriis.
Umbrella to Atriis Sync
- Go to Profile Center in Umbrella
- Click on Initiate mass-publishing in the Publishing panel:
- In the popup that appears click on Travelers:
- Select the company you would like to sync:
- Select Atriis in the Limit Publishing to and click Preview
- You will be prompted with the number of profiles that will be processed and need to enter that number again in the input box and click Execute to start the process
- The travelers’ profiles should appear in Atriis under the Corporate Account you specified for the sync.
Supported features
You can read our full FAQ article on this page: Umbrella - FAQ
- Synchronization of travelers’ profiles only. No sync for corporate profiles.
- Users are recognized according to their username, which has to be the same in Umbrella and Atriis; otherwise, it will create a new user in Atriis.
- The synchronization from Umbrella to Atriis is instant. From Atriis to Umbrella can take up to 2 mins
- Most of the traveler’s fields are mapped automatically. Only reference fields have to be mapped (see process above)
- Credit cards are synchronized
- Umbrella fields, which are synchronized:
Credit card billing address format
You exchange credit-card billing address data with Umbrella in two formats at the same time: the legacy custom fields and Umbrella’s standard, structured billing-address fields. Atriis sends and receives both formats simultaneously, in both directions — Atriis to Umbrella and Umbrella to Atriis.
When Atriis receives billing address data, it prioritizes the structured standard fields. If only the legacy custom fields are present, Atriis falls back to those instead. This means your organization keeps exchanging billing address data correctly whether your Umbrella configuration uses the legacy custom fields or the standard fields.
The two formats map to each other as follows:
| Legacy custom field | Standard field |
|---|---|
| Billing street | street |
| Billing city | place |
| Billing ZIP | zipCode |
| Billing country | countryCode |
| Billing state | state |
| Billing address line 2 | Concatenated into the address field on inbound sync |
Additional notes on this behavior:
- The standard format supports one billing address per credit card, so each address stays associated with the correct card. The legacy custom fields support only a single billing address per traveler record.
- The second address line and the state can be left empty.
- The country code is always sent as a valid two-letter ISO code.
Approval Flows and Travel Policy
In addition to the traveler’s personal data, Atriis can facilitate the sync of the following details associated with the traveler:
1. Approval Flow (use ApprovalFlow as internal code in Umbrella settings - case sensitive)
2. 1st level Approver in main approval flow (use 1stapprover as internal code in Umbrella settings - case sensitive)
3. Approval Flow for changes (use ApprovalForCNG as internal code in Umbrella settings - case sensitive)
4. 1st level Approver in approval for changes (use 1stapproverCNG as internal code in Umbrella settings - case sensitive)
5. Travel Policy (use TravelPolicy as internal code in Umbrella settings - case sensitive)
To map these fields in Umbrella, please navigate to My Agency and add the fields under Custom Fields Definitions:
General notes and best practices:
1. Only the 1st level approver is supported for the mapping in Umbrella. In case you use a multi-step approval flow, the rest of the approvers can be managed via the system UI on the traveler level or on the User Group Level. This applies both to the main approval flow and to the approvals for changes.
2. All the mentioned fields are optional - in case you don’t use some of the functionalities, you can skip the field and add only the relevant ones. However, in case you’re sending the 1st level approver, you’re required to also send the Approval flow, as they are linked together in Atriis.
3. We recommend using this functionality if you need to manage this information on the traveler level. Otherwise, you can save time by managing all the fields mentioned above on the Corporate User Group level.
