If you know exactly which hotel your traveller would like to stay at during her trip, and if it is defined as a preferred hotel, you can save time by choosing it directly from the Search screen. Here's how:
Click your cursor in the "Where?" text box, and a drop down will appear containing all defined preferred hotels, organized by city and point of interest.
Find the city and click on the desired hotel name. In this example, your traveller would like the Cheadle House in Manchester, England, UK.
The Search field populates with the hotel and the map indicates the location. Simply fill in the dates of the stay and click "Search".
GTP will skip the hotel list and take you straight to the room list for the chosen hotel.
Scroll to view all room options and book the one that suits your traveller. Quick as a wink!
If you do not choose the exact hotel from the Search screen, your search results will be organized in one of the following ways.
First, remember that there are several settings in GTP Admin that define hotel preference:
- Per corporate client:
- Preferred hotels
- Special rates
- Per TMC:
- Recommended hotels
- Special rates
When GTP performs the hotel search, the preference parameters are a factor in the result list.
If there are preferred hotels in your search location, GTP will display:
- Corporate preferred hotels (with and without corporate rates) ONLY
While you are viewing this list of preferred hotels, the remaining hotels will be loading in the background. Click the link at the top to see all results.
If you click to get all results, GTP will display results in the following order:
- Corporate preferred hotels (with and without corporate rates)
- Hotels with corporate rates
- TMC recommended hotels
- Hotels with TMC special rates
- All other available hotels
Results in each of the above groups are sorted by ascending price.
If there are NO preferred hotels in your search location, GTP will immediately display all hotels:
- Hotels with corporate rates
- TMC recommended hotels
- Hotels with TMC special rates
- All other available hotels
Again, results in each group are sorted by ascending price.
Don't forget!
The filtering option is available to show results per special rate type:
A hotel search in Boston for an employee of Atriis Technologies resulted in the list shown below.
The first hotels displayed are the Atriis Technologies preferred hotels; this is indicated by the flipped teardrop/star icon. In this case, one has an Atriis Technologies corporate rate (indicated by the Atriis logo) and one does not. The preferred hotels are sorted by price.
Next there are several hotels that have Atriis Technologies corporate rates, again sorted by price. In this case, some of the hotels also have TMC rates, but it's the Atriis Technologies rate that puts them in this group.
The last hotels shown do not have preferences or special rates; they are also sorted by price:
In your TMC Settings, navigate to the Corporate Settings > Corporate Accounts page and click the name of the corporate you want to add preferred hotels to.
In the Corporate Settings, navigate to the Preferred Hotels page.
At the top is a list of previously defined preferred hotels. Under the list, you will see an "Add Hotels" area with a blue background. In the text box, enter search parameters.
Say you want to find hotels in Glasgow, Scotland. Type in "Glasgow" and click on "Glasgow United Kingdom" in the drop down of Google suggested places.
Check the Distance setting and adjust if needed. Click "Get Hotels" to get a list of all hotels in your defined location.
Optional: To filter the results shown in the "Available Hotels" list, type in a key word or hotel name.
In this example, you want the Hilton Glasgow. So you "check" next to the hotel name and "right arrow" it over to the "Chosen Hotels" list.
Once you review the list for any other hotels, "check" next to your chosen hotels (click the box in the Chosen Hotels banner to select all) and click "Save".
You will see your newly Saved hotels in your hotel list at the top.
Here, too, you can filter through the list using the text box.
Now you can set the priority of your preferred hotels. Click the pencil icon in the Priority column for your hotel.
A drop down list of choices appears; they are in ascending order. "None" is the lowest priority and "Primary" is the highest. Choose your selection.
The menu will close and you will see the priority level shown adjacent to the hotel name.
